Refund policy
The Box LLC Refund and Cancellation Policy

1. Service Refund Policy: All Sales Final
The Box LLC maintains a strict no-refund policy for all fitness services. We do not issue refunds, prorated credits, or transfers for lack of usage, change of mind, relocation, or injury.
This includes, but is not limited to:
- Membership Dues: Monthly, annual, or any recurring membership fees.
- Personal Training Packages: Sessions purchased individually or as part of a package.
- Class Packages & Punch Cards: Prepaid credits for group classes or facility access.
- Nutrition/Specialty Coaching Services: Fees paid for personalized coaching or programs.
2. Membership Cancellation Procedure
To ensure your request is processed correctly and on time, all membership cancellation requests must adhere to the following procedure:
- Method of Request: Cancellation requests must be made in person at The Box LLC facility reception desk. We do not accept cancellation requests via phone, email, or third-party message.
- Notice Period: A written and signed cancellation form must be submitted a minimum of two (2) weeks (14 days) prior to your next scheduled billing date.
- Late Cancellation: If the cancellation request is received less than 14 days before the next billing date, you will be billed on that date. The cancellation will then officially go into effect immediately following the end date of that final paid billing cycle. You retain access to the facility until the end of that final paid period.
3. Membership Freezing/Pausing (Injury Only)
Membership suspension is available only under specific conditions:
- Eligibility: Membership freezes are granted only for medical injury that prohibits all use of the facility.
- Maximum Freeze: The initial maximum pause duration is thirty (30) days.
- Extended Freeze: Any pause longer than 30 days requires current documentation (a doctor's note) confirming the length of time you must refrain from physical activity.
- Processing Fee: A non-refundable $25.00 processing fee will be charged for all approved membership pause requests.
4. Retail Product Refunds and Exchanges
Refunds
- Refunds will only be issued for retail products (e.g., apparel, accessories) that are unworn, unused, unwashed, un-altered, and returned with original tags and packaging within thirty (30) days of purchase.
Exchanges
- Exchanges for damaged or defective apparel will be made for the same item (same style, size, and color) if available in stock. If the exact item is unavailable, a credit or exchange for an item of equal value will be offered.
5. Violations, Unauthorized Use, and Dispute Resolution
Termination of Service by The Box LLC
If The Box LLC terminates a membership due to a violation of the facility rules, code of conduct, or breach of the Membership Agreement, the member is not entitled to a refund for any unused portion of the current month's dues, personal training packages, or other prepaid services.
Unauthorized Service Use and Upgrades
If a member is found to be using or accessing services (e.g., group classes, advanced facility access, specialized equipment) to which they are not currently entitled or paying for under their existing membership plan:
- The member will be automatically charged for the full retail cost of the unauthorized services used.
- The member’s account will be automatically upgraded to the appropriate billing rate for the services utilized, effective immediately for all future billing cycles.
Payment Dispute (Chargebacks) Resolution
By signing the Membership Agreement, you agree that you are fully liable for all fees legitimately incurred under this policy.
- Any member who initiates a credit card chargeback for fees legitimately incurred will be permanently banned from the facility.
- The Box LLC reserves the right to pursue all necessary collection and legal pathways to resolve the debt. The individual responsible for the chargeback will be subject to all collection costs, administrative fees, and reasonable attorney's fees incurred by The Box LLC in resolving the dispute.
